A booking shall be considered confirmed only after the required booking amount/payment has been received and confirmation has been issued by Zaereen.com.

Submission of an enquiry, traveller details, passport copy or other documents does not by itself constitute a confirmed booking.

All bookings are subject to availability of flights, accommodation, visas, local arrangements and other services forming part of the selected package.

The person making a booking on behalf of family members or other travellers shall be responsible for communicating these Terms & Conditions to all travellers included in the booking.

Packages displayed as Group Departure or Fixed Departure are based on group travel arrangements.

Passengers are expected to travel according to the announced group schedule, flight arrangements, accommodation allocation, transportation and Ziyarat programme.

Certain departures may be subject to a minimum group size.

If the required group size is not achieved, Zaereen.com may modify, combine, reschedule or cancel the departure. Applicable alternatives, credit or refunds will be communicated according to the circumstances and supplier conditions.

The itinerary displayed or provided at the time of quotation or booking is indicative and subject to final confirmation.

For Iraq Ziyarat groups, the tour may operate as:

… depending upon final operational arrangements, accommodation availability, flight schedules and instructions/arrangements of the concerned authorities.

The final itinerary and sequence may be confirmed or modified up to approximately 7 days prior to departure, or later where changes arise due to operational circumstances beyond our control.

Hotels mentioned in quotations, itineraries or on Zaereen.com are subject to availability and final confirmation.

Where a mentioned hotel becomes unavailable, an alternative hotel may be provided according to the arrangements available for the respective group/destination.

Room allocation, floor, view, adjoining rooms, bed configuration and similar preferences are requests only and cannot be guaranteed unless specifically confirmed.

For Ziyarat destinations where accommodation is allotted or managed through the concerned Faiz, Sigat or authority, the final accommodation shall be subject to their allocation and availability.

Flight schedules, airline, aircraft, departure/arrival timings and routing are subject to change by the airline or relevant authorities.

Zaereen.com shall not be responsible for airline schedule changes, delays, cancellations, technical issues, airport changes, baggage delays or other airline-controlled circumstances.

Where a flight disruption affects the tour, reasonable efforts will be made to arrange alternatives. Any additional cost will be handled according to airline/supplier policy and the circumstances of the disruption.

Airline tickets may be non-refundable or subject to airline cancellation/change charges once issued.

Every traveller is responsible for ensuring that their passport and other travel documents meet the requirements of the destination.

Travellers must submit correct and clear documents within the prescribed time, including where applicable:

Visa approval is entirely subject to the concerned embassy, immigration authority, government authority, Sigat/Faiz or other competent authority, as applicable.

Submission of documents or payment of visa fees does not guarantee visa approval.

Zaereen.com cannot be held responsible for visa rejection, delay, immigration refusal or additional documentation requested by the competent authority.

The traveller's name, date of birth, passport number and other details must be provided exactly as appearing in the passport.

Passengers are responsible for checking all information appearing on their booking confirmation, tickets and travel documents.

Any charges arising from incorrect information provided by the passenger shall be payable by the passenger.

Ziyarat programmes, Ataraaf Ziyarat, transportation, meals, accommodation and other local arrangements may be operated in coordination with the respective Sigat, Faiz, local authorities and authorised service providers.

The timing, sequence or availability of a particular Ziyarat may change due to local circumstances, security restrictions, religious programmes, road closures, government instructions or directions from the concerned authorities.

Such operational changes shall not constitute grounds for claiming a refund for the entire tour.

The package price shall include only those services specifically mentioned under “Package Inclusions” in the applicable quotation or booking confirmation.

Anything not expressly mentioned as included shall be considered excluded.

Prices may be affected by changes in:

If any compulsory government, airline, visa or authority-imposed charge changes after booking, the difference may be payable by the passenger.

Payments must be made according to the payment schedule communicated at the time of booking.

Failure to make payment within the specified timeline may result in cancellation of the booking without further obligation to retain the seat or services.

A booking amount or advance payment does not necessarily mean that every individual service has already been issued or confirmed.

Final travel documents may be withheld until the booking is fully paid.

Cancellation requests must be communicated to Zaereen.com in writing.

Cancellation charges will depend upon the date of cancellation and the actual commitments already made towards flights, hotels, visas, Faiz arrangements, transportation and other suppliers.

Cancellation may involve deductions for:

Where airline tickets, visas, hotel rooms or other services are specifically marked non-refundable, the corresponding amount will remain non-refundable irrespective of the general cancellation policy.

Zaereen.com reserves the right to cancel, postpone, combine or modify a group departure where reasonably necessary due to insufficient group size, flight cancellation, visa restrictions, government regulations, safety concerns, operational difficulties or circumstances beyond reasonable control.

Depending upon the circumstances, Zaereen.com may offer an alternative departure date, alternative arrangement, travel credit or refund of the recoverable amount.

Amounts already paid to airlines, hotels, visa authorities, Faiz/local operators or other suppliers and which cannot be recovered will be governed by the respective supplier's refund policy.

Zaereen.com shall not be liable for failure, delay, modification or cancellation caused by events beyond its reasonable control, including but not limited to:

In such circumstances, Zaereen.com will endeavour to assist passengers and arrange reasonable alternatives wherever practicable.

Any additional expenses resulting from such circumstances may be payable by the passenger where they cannot be recovered from or absorbed by the relevant service provider.

All passengers are expected to maintain appropriate conduct and cooperate with the Group Leader, tour coordinator and concerned local authorities/Faiz/Sigat during the journey.

Passengers should follow communicated reporting times, transportation schedules, Ziyarat timings and group instructions.

Zaereen.com shall not be responsible for services missed because a passenger fails to report at the communicated time or separates from the group without informing the Group Leader.

Passengers should assess whether they are physically capable of undertaking the selected journey.

Elderly passengers, passengers requiring wheelchairs or persons requiring special assistance should inform Zaereen.com before booking.

Wheelchairs, special rooms, airline assistance and other special services are subject to availability and confirmation and cannot be guaranteed unless expressly confirmed.

Passengers requiring medical attention or regular medication should carry adequate medication and relevant medical documentation.

Passengers are responsible for their passports, money, jewellery, mobile phones, baggage and other personal belongings.

Airline baggage allowance shall be governed by the applicable airline ticket/fare.

Zaereen.com shall not be responsible for lost, delayed or damaged baggage where responsibility rests with an airline, hotel, transporter or other third-party service provider, although reasonable assistance may be provided.

No refund will ordinarily be provided for services voluntarily unused by a passenger after commencement of the journey, including unused accommodation, meals, transportation, sightseeing or Ziyarat arrangements.

If a passenger joins late, leaves the group early or independently changes their programme, expenses arising from such changes shall be borne by the passenger.

Zaereen.com coordinates travel services provided by airlines, hotels, transport operators, visa/immigration authorities and other service providers.

Each third-party service may additionally be governed by that provider's own terms, conditions and policies.

Zaereen.com will provide reasonable assistance where problems arise but cannot control the independent operation of airlines, government authorities or other third-party suppliers.

For processing bookings, Zaereen.com may collect and process information such as traveller name, mobile number, email address, passport information, photographs, identity documents, travel details and other information necessary for the requested travel services.

Such information may be shared, where necessary, with airlines, hotels, visa/immigration authorities, concerned Faiz/Sigat and other service providers for processing and operating the booking.

The collection and processing of personal information shall additionally be governed by the Privacy Policy of Zaereen.com.

We endeavour to keep package descriptions, prices, itineraries, hotel information and other information on Zaereen.com accurate and updated.

However, typographical errors, technical errors, supplier updates or inadvertent pricing errors may occur.

Where an obvious error is identified before final confirmation, Zaereen.com reserves the right to correct the information and communicate the correct price or arrangement before proceeding.

Photographs and videos may occasionally be taken during group departures.

Where identifiable photographs or videos of passengers are intended to be used for promotional, website or social-media purposes, appropriate permission/consent may be obtained where required.

Any concern during the journey should be immediately brought to the attention of the Group Leader or Zaereen.com representative, allowing an opportunity to resolve the issue while the passenger is travelling.

Post-travel complaints should be submitted in writing with the relevant booking details and supporting information.

Zaereen.com shall be responsible for providing and coordinating the services confirmed in the applicable booking, subject to these Terms & Conditions.

Zaereen.com shall not be responsible for losses arising solely from circumstances outside its reasonable control or the independent acts of airlines, governments, immigration authorities, hotels or other third-party providers.

Nothing in these Terms & Conditions is intended to exclude any right or remedy that cannot legally be excluded under applicable Indian law.

These Terms & Conditions shall be governed by the laws of India.

Subject to applicable law regarding jurisdiction and consumer rights, disputes relating to services provided by Oxford Travels / Zaereen.com shall be subject to the appropriate courts and forums having lawful jurisdiction.
