Cancellation & Refunds
A Ziyarat package is many services under one price — flights, visas, accommodation, meals, transportation, Ziyarat arrangements and Faiz/Sigat arrangements — and each carries its own cancellation conditions.
What can be refunded therefore depends on the package, the date of cancellation, and which services have already been confirmed, issued or paid for on your behalf.
1Introduction
Zaereen.com specialises in organised Ziyarat and pilgrimage group departures for the Dawoodi Bohra community.
Our packages may include multiple services such as flights, visas, accommodation, meals, transportation, Ziyarat arrangements, Faiz/Sigat arrangements and other travel services.
Each of these services may have its own cancellation and refund conditions. Therefore, cancellation charges may vary depending on the package, date of cancellation and services already confirmed or issued.
By confirming a booking with Zaereen.com, the booking person and all travellers included in the booking agree to this Cancellation & Refund Policy.
2How to Request a Cancellation
All cancellation requests must be communicated to Zaereen.com in writing through an authorised communication channel, and are effective only once received and acknowledged by us.
The cancellation date used for calculating applicable charges will normally be the date on which the written cancellation request is received during our working hours.
Verbal communication with a Group Leader, representative, supplier or other person should not be considered a confirmed cancellation unless acknowledged by Zaereen.com.
3General Cancellation Charges
Unless a different cancellation policy is specifically mentioned for a particular package or departure, the following general cancellation charges may apply:
- More than 45 days before departure Up to 10% plus any actual non-refundable expenses already incurred
- 31 to 45 days before departure Up to 25% plus any actual non-refundable expenses already incurred
- 16 to 30 days before departure Up to 50% plus any actual non-refundable expenses already incurred
- 8 to 15 days before departure Up to 75% subject to actual supplier cancellation conditions
- 7 days or less before departure Up to 100% the package cost may be entirely non-refundable
- No-show / failure to travel 100% full cancellation charges may apply
These percentages are general guidelines. Where airline tickets, visas, accommodation, Faiz/Sigat arrangements, transportation or any other component has already been confirmed, issued or paid for on a non-refundable basis, the actual non-refundable amount may be deducted in addition to — or instead of — the percentage above.
Where a package-specific cancellation policy is displayed in the quotation, package details, booking confirmation or invoice, that specific policy shall take precedence over this general schedule.
4Booking / Registration Amount
Certain group departures may require a booking or registration amount to reserve a seat.
Payment of the booking amount does not necessarily mean that every component of the package has been issued or confirmed.
Once services have been processed or commitments have been made to airlines, hotels, visa providers, Faiz/Sigat arrangements or other suppliers, the corresponding amounts may become partially or fully non-refundable.
Any booking amount specifically declared as “Non-Refundable” at the time of booking will remain non-refundable.
5Airline Tickets
Airline tickets are subject to the cancellation, amendment, refund and no-show rules of the respective airline and fare type.
Once a ticket has been issued:
- Airline cancellation charges may apply
- Certain fares may be completely non-refundable
- Group fares may have different cancellation conditions from individual fares
- Airline service fees and other charges may be non-refundable
- No-show charges may apply
- Name changes may not be permitted
- Date changes may be subject to availability and additional charges
Any refund for an airline component will be processed only after the applicable amount is received or confirmed as refundable by the airline.
6Visa & Documentation Charges
Visa fees, application fees, processing fees, documentation charges and related service charges may become non-refundable once an application or processing has commenced.
Visa approval is solely at the discretion of the concerned immigration, government or competent authority.
Visa rejection, delay or refusal does not automatically make the complete tour package refundable.
If a visa is rejected or delayed, the refundable amount, if any, will be calculated after deducting:
- Visa / application charges
- Airline cancellation charges
- Hotel cancellation charges
- Faiz / Sigat or local arrangement charges
- Other non-refundable supplier commitments
- Applicable processing / service charges
7Faiz / Sigat & Ziyarat Arrangements
For certain Ziyarat destinations, accommodation, meals, transportation, Ziyarat or other local arrangements may be coordinated through the concerned Faiz, Sigat or authorised arrangements.
Once registration, accommodation or other arrangements have been submitted or confirmed, cancellation/refund will be subject to the applicable rules and recoverability of the amount from the concerned arrangement.
Zaereen.com cannot guarantee a refund of an amount that has already become non-refundable or non-recoverable.
8Hotels & Accommodation
Hotel and accommodation cancellations are subject to the cancellation terms of the respective hotel, supplier, Faiz/Sigat arrangement or accommodation provider.
During peak periods, religious occasions, special events and group departures, accommodation may be partially or completely non-refundable once confirmed.
Any refundable amount will therefore depend upon the cancellation terms applicable to the actual accommodation booking.
9Cancellation of One Passenger from a Group Booking
Where one or more passengers cancel from a family or group booking while other passengers continue travelling, the package cost for the remaining passengers may change.
For example, cancellation may affect:
- Room occupancy
- Twin / triple sharing
- Child-with-bed arrangements
- Private transportation
- Group pricing
- Family room allocation
Any resulting difference in cost for the remaining passengers may be payable in addition to the cancellation charges applicable to the cancelled passenger.
10Date Change / Transfer to Another Departure
A request to change from one departure date to another will be subject to availability and approval.
A date change should not automatically be considered a free cancellation or transfer.
Any difference in:
- Airfare
- Visa charges
- Hotel rates
- Package rates
- Supplier charges
- Ground arrangement costs
… will be payable by the passenger. Where an existing booking contains non-refundable components, those costs may also apply even if the passenger transfers to another departure.
11Name Change / Passenger Replacement
Passenger replacement or name change is not guaranteed.
Airline tickets, visas and other services may not permit a passenger name to be changed after confirmation.
Where replacement is permitted, all applicable airline, visa, supplier, administrative and other charges shall be payable by the passenger.
12Cancellation Due to Visa Rejection
Visa issuance is outside the direct control of Zaereen.com.
If a traveller's visa is rejected, the booking will not automatically qualify for a full refund.
Zaereen.com will calculate the refundable amount after deducting all costs that have already become non-refundable or have been incurred for the booking.
Where possible, reasonable assistance will be provided regarding available alternatives.
13Passport or Documentation Issues
Passengers are responsible for providing valid and accurate passport and travel documents within the required timeline.
Cancellation arising from:
- Passport expiry
- Damaged passport
- Incorrect traveller information
- Late submission of documents
- Missing documents
- Immigration restrictions applicable to the passenger
- Failure to obtain required permissions
… will generally be treated as a passenger-initiated cancellation, and normal cancellation charges may apply.
14Cancellation Due to Medical or Personal Reasons
Cancellation due to illness, accident, family emergency, change of plans, work commitments or other personal circumstances will be subject to the applicable cancellation conditions.
Passengers are encouraged to obtain suitable travel insurance where available.
Where an airline, hotel or supplier provides a special refund due to documented medical circumstances, Zaereen.com will pass on the eligible refund after applicable deductions once received or confirmed.
15No-Show
A passenger will generally be treated as a “No-Show” if they fail to report for the journey at the required time without an approved cancellation or change.
This may include failure to report at:
- Airport
- Group reporting point
- Hotel
- Transportation pickup
- Other designated departure point
No-show bookings may be subject to 100% cancellation charges. Zaereen.com will not be responsible for a missed departure caused by the passenger arriving late.
16Unused Services / Early Return
Once the journey has commenced, no refund will ordinarily be available for services voluntarily unused by the passenger. This includes:
- Unused hotel nights
- Missed meals
- Missed Ziyarat
- Unused transportation
- Missed sightseeing
- Early departure from the group
- Late joining of the group
- Voluntary change of itinerary
Any additional arrangements required due to the passenger leaving or changing the group programme will be at the passenger's own expense.
17Cancellation or Rescheduling by Zaereen.com
Zaereen.com may cancel, postpone, combine or reschedule a departure where reasonably necessary due to circumstances such as:
- Insufficient group size
- Airline cancellation
- Major schedule changes
- Visa restrictions
- Government restrictions
- Operational difficulties
- Safety or security concerns
- Changes in local arrangements
- Circumstances beyond our reasonable control
Depending upon the circumstances, passengers may be offered one or more of the following:
- Alternative departure date
- Alternative travel arrangement
- Adjustment against another eligible package
- Travel credit
- Refund of the recoverable amount
Any refund will be subject to amounts recoverable from airlines, hotels, visa providers, local operators and other suppliers.
18Airline Cancellation or Schedule Change
If an airline cancels, reschedules or changes a flight, Zaereen.com will make reasonable efforts to assist passengers with the options made available by the airline.
The airline's applicable policy will determine whether the passenger is eligible for:
- Alternative flight
- Date change
- Travel credit
- Partial refund
- Full airline refund
A flight schedule change does not automatically result in cancellation of the entire tour where reasonable alternative arrangements can be provided.
19Itinerary Changes Are Not Cancellations
The sequence and timing of a group itinerary may be changed due to operational requirements. For example, an Iraq Ziyarat itinerary may operate:
… or vice versa. Hotels may also be substituted with available alternatives and Ziyarat timings may be rearranged.
Such operational changes will not ordinarily be treated as cancellation of the package where the principal tour services continue to be provided.
20Force Majeure & Circumstances Beyond Control
Zaereen.com shall not be responsible for cancellation, interruption, delay or modification caused by circumstances beyond its reasonable control, including:
- War
- Civil unrest
- Political disturbances
- Border closures
- Government restrictions
- Natural disasters
- Epidemics / pandemics
- Airport closures
- Airline disruptions
- Strikes
- Security situations
- Immigration changes
- Religious / local restrictions
- Closure or restricted access to Ziyarat locations
- Other extraordinary events
In such circumstances, Zaereen.com will endeavour to provide reasonable assistance and alternatives.
However, refunds will depend upon the amounts actually recoverable from the respective airlines, hotels, suppliers and service providers. Any additional expenses arising from such circumstances may be payable by the passenger.
21Refund Calculation
Where a refund is applicable, it may be calculated after deducting amounts such as:
- Airline cancellation charges
- Non-refundable airfare
- Visa fees
- Visa processing charges
- Hotel cancellation charges
- Faiz / Sigat arrangement charges
- Transportation cancellation charges
- Supplier charges
- Payment gateway / banking charges where non-refundable
- Administrative or processing charges, where applicable
- Any other amount already committed and non-recoverable
The passenger will be informed of the applicable deductions and eligible refund amount.
22Refund Processing Time
Eligible refunds will be initiated after cancellation charges and supplier refunds have been determined.
Certain refunds, particularly those involving airlines, hotels or overseas suppliers, may require additional processing time.
Where Zaereen.com is awaiting a refund from a supplier, the passenger's corresponding refund may be processed after the amount is received or formally confirmed by that supplier.
Refunds will ordinarily be made through an appropriate banking/payment method and not in cash, subject to applicable circumstances.
23Refund to Original Payer
Where reasonably possible, refunds will be made to the original payment source or to the person/account from which the booking payment was received.
Zaereen.com may request bank details, identity verification or other information before processing a refund where necessary for security, accounting or compliance purposes.
24Payment Gateway / Banking Charges
Payment gateway, card, UPI, banking or other transaction charges that are not returned to Zaereen.com by the payment service provider may be non-refundable.
Any applicable refund transaction charges may also be deducted where permitted.
25Package-Specific Cancellation Policy
Some departures may have special cancellation conditions because of:
- Group airline fares
- Chartered / blocked airline seats
- Special hotel contracts
- Peak-season bookings
- Religious occasions
- Special Ziyarat arrangements
- Non-refundable visas
- Fixed supplier commitments
Where a specific cancellation policy is shown on the package page, quotation, booking confirmation or invoice, that policy applies to that booking and takes precedence over this general Cancellation Policy.
26Refund Disputes & Assistance
If you believe that a cancellation or refund has been calculated incorrectly, please contact Zaereen.com with your booking reference and details of your concern.
We will review the booking, supplier conditions and applicable deductions and provide clarification.
27Acceptance of Cancellation Policy
By making a payment or confirming a booking with Zaereen.com, the booking person acknowledges that they have read and accepted this Cancellation & Refund Policy together with:
- Terms & Conditions
- Package Inclusions & Exclusions
- Payment Terms
- Privacy Policy
- Package-Specific Conditions
The booking person is responsible for communicating the applicable cancellation conditions to all passengers included in the booking.
